What is it?
A construction material stock register records opening stock, receipts, issues and closing stock for a named material, unit and site location. It helps a team explain the movement of materials; the recorded balance still needs to be checked against physical stock.
Identify the material before counting it
Give each entry a date, project, storage location, material description, specification and unit. “Steel” or “cement” alone may group items the team needs to distinguish. Use the same naming convention across requests, delivery references and stock entries.
Keep one row specific to a material, unit and location for the reporting period. Do not combine bags, kilograms and tonnes in one quantity column. If your team converts units, record the conversion basis separately so another person can follow the calculation.
- Opening stock: the agreed balance at the start of the period.
- Receipts: quantities received into this location during the period.
- Issues: quantities released from this location during the period.
- Closing stock: the calculated end-of-period balance, pending reconciliation.
Calculate the closing stock balance
Use closing stock = opening stock + receipts − issues. In the illustrative record below, 120 opening bags plus 80 received bags minus 65 issued bags gives a recorded closing balance of 135 bags. The numbers demonstrate the calculation only.
In the downloadable template, G is Opening stock, H is Receipts, I is Issues and J is Closing stock. After entering your quantities in row 2, put the formula below in J2 in Google Sheets or Excel. The CSV itself contains no prefilled data or formulas.

| Date | Project | Location | Material | Specification | Unit | Opening | Receipts | Issues | Closing |

Make transfers and references traceable
Keep a delivery, issue or transfer reference with the entry. A movement between two stores is an issue at the sending location and a receipt at the receiving location. Use the same transfer reference on both records so it is not mistaken for a new purchase or site consumption.
A stock issue and installed work are different events. Material may be released to a work area before it is used. Link relevant progress records when helpful, but do not infer completed construction quantities directly from stock issued.
Reconcile the record with physical stock
At an agreed review point, compare the calculated balance with a physical count in the same unit and location. Check delivery and issue references, late entries and transfers before deciding why a difference exists. Record who checked it and the date.
Do not silently overwrite an earlier balance to make the sheet match. Keep the original reference and document an agreed correction with its reason. Investigate a negative recorded balance instead of treating it as a usable stock quantity. Use the reviewed balance as the next period’s opening stock.
Start with a spreadsheet, keep the project context
Download the header-only CSV, open it in Sheets or Excel and enter your own records. Add the closing-stock formula after import. Keep supporting documents in an accessible project folder; reference cells do not upload or store files. Save as a spreadsheet to retain formulas and formatting.
